Migrating a multi-user server from version 12 to 14

An overview on converting a cluster of users mounted on a shared server from version 12 to version 14.
Step 1. A standard Offsite Internet Backup is taken for each user's instance.
Step 2. One by one, each user's data is then restored into a Hyper-V virtual machine running version 12, with a checkpoint in place to allow reversion back to the V12 state. After each restore event, the user's data is migrated to version 14 using the system update mechanism. After each migration, another post migration V14 backup is taken. For the V14 backup it is useful to create this in the original backup server as well as noting the time stamp. As each user's data is successfully converted, the lab VM is reverted back to it's V12 checkpoint so that the next batch of data can be processed.
Step 3. Once all user data has been migrated to version 14, the production server can be updated to version 14 normally.
Step 4. After the production update to version 14 is completed, the FDConnectionDefs.INI configuration replaces the BDE alias mapping used in a version 12 forest. The FDConnectionDefs.INI is stored in C:\spartner\.  [Rezy] is the default alias and data path of the administrator. Additional users are provisioned by copying and modifying this master alias as in the example below. The Database path is typically structured using the personal Documents folder. Note the title of each alias is identical to their documents path.
A copy of the administrator's (blank) Rezy.SQLite3 is then pasted into each user's path. Copy this from C:\spartner\data into each user's personal spartner\data folder.

Step 5. To complete the migration, the admin logs in one by one as each user and configures their system file. Following that their migrated data snapshot can be restored using the backup which was captured in step 2. Each user's unique INI paths and custom folders are persisted from the original hierarchy.

Troubleshooting

  • Check for empty records and remove them prior to taking a V12 backup e.g in Data Explorer open select * from activity.
  • Delete orphaned property records via Settings, Misc.
  • Check for duplicate activity (Misc).
  • Re-save property and contact records (Misc).
  • Check Contact Entry / Contacts carefully for empty records and tidy up wherever possible. Assign contact codes.
  • Verify IPO files in the Data folder upon completion of each migration event.

Activity error V14 solved

In an instance of version 14 an SQL code activity error occurred during any process when a note is automatically created such as: emailing, text messaging and using the To-Do List. Data must be backed up before proceeding. The solution is to empty the SYSTEM table in Utilities (Advanced, Empty/Reread Data-files, Empty Selected Table) and then re-enter the registration details. Important: the System Number must be allocated using the Change Sys# tool in SalesPartner, More, Settings, System File. Otherwise an invalid integer variant error will appear when trying to record activity.

Newsletter template: May 2020

From May 2020, SalesPartner version 14 includes a monthly e-newsletter template you can use to keep your contacts informed about NZ property market developments. Designed for email, the recipient's name is merged along with a Feature Property (optional). Sample below:

SalesPartner Weblink users can also include a link to their latest listings automatically by entering their webpage address under More, Settings, System File, Report Clauses, Website field.

Step 1. Update SalesPartner

Each month version 14 users will be prompted to update SalesPartner. This update will automatically download the latest monthly newsletter template. Updates will normally be published on the first Tuesday of each month.

Step 2. Select Contacts

Open Contacts and click Email Filter (to show contacts with email addresses). Click Enabled and lookup your feature listing (if applicable). Click All then click Letters.

Step 3. Send the e-newsletter

Double click the CFP newsletter attached template.

You can personalise the newsletter content. When you're ready to send it click Email All, enter your subject line then click OK.

Activity will automatically be recorded for each contact. Contact us for support with emailing, weblinks, email configuration, and contact groups.

Facebook Audiences introduction

The Audiences portal in the Facebook Ads Manager dashboard has many definitions you can use to macro target specific users based on their interests and online behavior.
In this overview we'll upload a database of SalesPartner contacts to promote a new listing via Facebook. This is achieved through audience hashing. The Audiences portal can intelligently locate your SalesPartner contact's Facebook profiles using their name, email and mobile data. Note: audience data is handled anonymously using artificial intelligence, and the audience's private data cannot be retrieved from Facebook.

Export to CSV for uploading to Facebook

The first step is to export the contacts to a CSV file and include all the available fields that Facebook will accept such as:
  • mobile phone number
  • email address
  • email CC address
  • first name
  • last name

Next we'll replace the leading characters in the mobile field '027 ', '022 ', and '021 ' with '+6427', '+6421' and '+6422' respectively because the country code must be included. Note if you re-save contacts (see settings, Misc) in SalesPartner prior to the export, then the mobile numbers will contain a space after the prefix so you can use that in your find parameter to mitigate against incorrect formatting during this process.
We'll also rename our CSV file's column headers to match the sample template guidelines provided by Facebook.

Uploading contacts to Facebook

Once our CSV file is ready to upload, we'll send it to Facebook so they can identify any of our SalesPartner contacts online and create a unique list of clients in our marketing dashboard. We've included as many identifiers as possible in order to get the best strike rate.

The CSV file is checked for errors and we'll also confirm which columns match each heading. This is a straightforward process because our template was already thoroughly formatted according to the guidelines provided.

The database upload is complete. Our audience is ready in Facebook for us to design a tailored marketing campaign (new listing / prospecting / newsletter / page promotion). From here we can also create a lookalike audience of customers who have similar interests and demographics to our SalesPartner database.

Your vendor's promotional budget will be funding highly visible boosted listings to directly engage qualified buyers online. Facebook marketing also encourages organic reach through social behaviors like sharing, tagging, and customer engagement. Potential leads have a direct path to the salesperson as well as the ability to notify their own social networks.
