Modifying Property Smarts Data

In this cheat sheet we're going to modify a CSV of Property Smarts property records.
In our direct mail campaign we're going to merge an expected sale price into the recipient's letter by adding 200k to their current value. 200k is the average premium over RV for our farming area.
  1. Export a list of addresses and open in Excel.
  2. Right-click insert an empty column next to the Capital Value column, then enter 200000 as text into the first cell.
  3. Select the '200000' cell and right-click copy.
  4. Select all of the CV cells and right click Paste Special -> Add
If the currency formatting is kept in its original style, the commas will break the sequence when imported into SalesPartner. The solution is to copy the column into Wordpad, then use Find & Replace to change commas into '^'. The next trick is to remove any surplus spacing using a tool like https://www.textcleanr.com/
Then copy the column back into Excel next to the original CV column so you can check that the layout is consistent.

Right click the column to reinstate accounting format (hide the symbol).

Import an address list: Property Smarts

How to import a CSV list of property addresses from Property Smarts into SalesPartner for Direct Mail canvassing.
We've loaded the filter to target properties that are similar to a recent sale, there are around 30 dwellings that match our criteria. Our key parameters: Age, RV, Date last sold and floor/land area.

Click Download CSV

Open the CSV file in LibreOffice and delete the empty sep= row at the top of the spreadsheet, then save the CSV file. Note this row doesn't appear in Excel.

Next we need to open the CSV file in Excel and format these columns as text (so the commas don't break our column mapping in the next step):
  • Capital Value
  • Land Value
  • Last Sale Price

Open SalesPartner, More, Import Data, Import Contact CSV.

Match the columns as pictured or load the match using the text file below. Click Next Record to check the columns scroll tidily in sequence (no shifting cells).

We're going to add two fixed fields:
  1. For Surname we've entered The Homeowner as a salutation for the envelope address label.
  2. For TypeID we've entered the short code for a new group, so we can quickly bring up the list.

Suburb analysis

Here's a quick way to identify detailed sales trends in a particular suburb. Pick a suburb, then count up the number of sales per street and divide that by the number of dwellings. In our example (for established streets only) we checked how many sales had occurred in the past twenty years for each street.
In Excel select Column D and enter the formula, then hit Ctrl+Enter to apply the calculation to every row.
=B1/C1

This table tells us which streets have comparably higher turnover within the suburb.
Tip: Right-click column D and in Format Cells select the number of decimal places.
